Organize your photos successfully
The first step to building a great yearbook is gathering and organizing your photos successfully. In this article, we will go over the best practices for managing your photos using our website!
To start, go to the Manage tab in the main account dashboard and select Manage Photos from the list.
Lets start with an explanation of the top tool bar:
All the way to the left, you will see a big green button that says Upload Photos. You can upload all your photos directly to your yearbook account from here. You can also make categories for your yearbook project in upload photos as you are uploading them. For more information about how to upload a photo, click here.
The blue button in the middle is Email Photos. This technology allows you to send out a standard email address to your yearbook community, so they can email photos directly to that photo category. This can be very helpful if you have a large group of people collecting photos for your project! For more information on how to upload a photo via email, click here.
If you would like to import photos from a previous yearbook project, you can do so by clicking on the yellow Import Previous Year Photos. This allows you to import a photo category from a past project into your current project, so you can access all the photos. Click here for instructions on how to use this feature.
You can also import photos from Instagram, Facebook, Google Drive, and Dropbox. Login to anyone of these accounts and you can directly import photos from your folders. If you are using Facebook, make sure your Facebook permissions are set up to allow other apps to access your photos.
Photo Categories
To the left of the page you will see a list of your photo categories. Create a new category by selecting “Create New Photo Category“
You can also add a “Parent Category” that will help you organize your photo groups further. To do this, you can choose a “parent category” from the beginning, or you can select a photo category, click “edit” and choose the “parent category” you’d like to assign that group to.
You can add as many categories as you need. All photo categories will appear under “All Photos.”
To Delete a Photo Group: Select the category you’d like to delete. Then select the “edit” button.
A “Delete” Button will appear and you can remove that category from your Photo Groups.
Photo Filtering
You can filter your photos in a few different ways. This comes in handy when it comes to looking for particular photos in large categories. You can search by the File Name of a photo, the Photo Caption if you chose to include one, as well as Photo Tag (if your photos are tagged). You can also search by the Status of your photo (used, new, considered, discard, error).
You can add things like photo captions, tags, and change photo status in the photo details. Access the photo details by clicking on the photo; a pop up screen will appear where you can make your updates.
Additional Photo Editing
Once a photo is uploaded, you might need to rotate it, or move the photo to a different category, or even the delete the photo. You can do all that in the section under the filtering options.
To select a photo you would like to perform one of these actions, just hover over it. You will see a box in the bottom right hand corner. Click in that box to select that picture. Select as many pictures as needed and then desired action button to apply an action to all selected photos. If you would like to select every photo in a category, click on Select All Photos.
Is there a specific or preferred size ie: crop ratio that is necessary for my yearbook individual photos
320 x 400 pixels or 640 x 800 pixels
How can I rearrange the order of the sub folders. 2 years ago i was able to do this but for some reason i am unable to order the sub category folders.
The folders go in alphabetical order, but you can number the subcategories to get around this.
Is there a way to archive photos you don’t want to use, but not completely delete in case
You can mark the status of the photos to “consider” or move them to a different folder, but unfortunately there is no Archive at this time. We will look into adding it in the future.
