Common People Page FAQ’s

1) Students don’t have names under their photos

This is usually due to your data headers being labeled incorrectly. Try deleting all your People Pages data and re-uploading your index. You can delete your student data by clicking the Delete All People button located under manage people data. This button will highlight in red when you click it and ask you to confirm. You cannot undo this action.

When you re-upload your index, make sure you fill out your data headers before confirming your index.

Another way is to click on “View Uploaded Student Indices”, select the file and confirm the data headers.

2) I uploaded my index and my student photos, but they are not syncing.

First, try deleting your student data and re-uploading your index and photos.

If your photos are still not syncing, it could be because the index was set up incorrectly. Usually, this means the photo file name that is listed in the index does not match the actual photo file uploaded for this student. This usually calls for the photographer to correct the index file, so contact your photography company and ask for an updated index. You can also contact your Account Manager for help.

3) I uploaded my index, but not all of the student information is showing up.

This might mean that the index has been set up incorrectly, causing all of the People Pages data to exist in one column. The student’s first and last names, photo file name, teacher, and grade should exist in separate columns. This error usually occurs because the photographer has configured the index file to be comma delimited rather than tab delimited format. Contact your Account Manager for assistance.

4) There are quotation marks in my student names.

Occasionally, indexes are created with quotation marks around the student names and photo file names. This can present issues when flowing your People Pages. If you are having issues with uploading your People Pages, check to see if there are quotation marks around the index information. If so, remove them. If you open your index file in Excel, you can use Find and Replace to find all the quotations and replace them with no characters. Then save the new excel Index as a .txt file and upload again.

5) The teacher is flowing with the students

When you are flowing a class and the teacher is flowing with the students into a student portrait spot, usually this means the teacher is listed with the class. You will solve this by clicking on the teacher in manage people data to edit their information. They will most likely have the teacher filled in and you can delete the text there and leave it blank. Hit the blue save button and your data will refresh automatically. This will not delete the teacher from your people data, just from the class so the students will now flow without the teacher.

6) When I try to flow 2 classes on a page, the first class fills both templates.

When you are trying to flow two classes onto a page and the first class fills the spots of both class templates, this is because the two class templates are placed on the same layer. To fix this, first clear the people data from the page and click here to learn more about how to lay out a page for two different classes.

7) My template has a teacher spot, but the teacher will not flow into the spot

When you want to flow a teacher into the teacher spot on a template, the teacher must be listed as a teacher/staff on manage people data. You can edit the teacher by selecting the teacher in manage people data and then select Update Selected.

In the pop up, select department in the top drop down menu, then you can type Teacher or Faculty under “Provide the new value” and hit the Save button. This will allow them to flow into a teacher spot.

Now to make sure they flow into the correct class, click on the teacher and in the pop up, make sure the teacher name category is correct. If it is blank or incorrect, you can select the correct teacher name in the drop down. Next confirm the department is listed as Teacher or Faculty and hit the blue Save button!

Now go to flow people and select the class you want to flow. The teacher will now appear in a new Teacher category above the students.

Finally flow the portraits and the teacher will automatically flow into the teacher place in the template and hit SAVE!

8) How do I change the no photo/ camera shy icon

If a student does not have a photo and you want to change the default No Photo Available/Camera Shy photo, you can do so by going in the Flow tab and selecting Change under the No Photo Icon.

A set of default photos will pop up and you can select which one you would like and then hit Close. Now your students with no photo will flow with your chosen no photo icon.

9) The names are showing up on 2 lines instead of on 1 line

If you want your names to be only on 1 line instead of 2, your names were most likely flowed as a split name. To change this first clear the people data from the page and go to Flow People. You will see Split Name and where it says Yes, select No from the drop down instead.

Now reflow the class onto the page and the names will all appear on the same line and SAVE the page.

10) People names are highlighting in red

This means part of the name is being cut off and there are a few easy ways to solve this. First you can try clicking on the text box and extending the box by dragging the blue circles to see if the name will fit.

If you want the box to stay the same size you can change the size of this students name to make the whole name fit in the text box. You will click on the student then select “Edit Person”

In the pop up, you can change the text size to make it smaller. The top of the pop up will show the same highlighted in red to show how it fits in the text box. Decrease the size of the text then click Save Text Style until it no longer shows that it is highlighted in red.

Then close the pop up box and confirm you can still read the name on the page. Don’t forget to hit SAVE!

11) I want to add another people page box to a page to fit another student

To add another people page box to a page to fit more students, you will first copy and paste the last student’s photo box and place it where you would like it on the page.

Next, you will copy and paste the last student’s name box and place it under your copied photo box. It will now appear like you have a duplicate student at the end.

Now you will right click the copied photo box and select properties.

In the pop up properties menu, under profile position, change the number to one greater than the number of portrait boxes on your page. In this case, I have 23 boxes on the page and I am adding a 24th box so I typed in 24 instead. Then scroll down and hit update, and exit out.

The box will now update with the 24th student and add their name in as well. If their name does not appear, follow the same properties steps you did for the photo box and it will update! Continue as needed to place any extra students that did not fit in your original template and SAVE the page.

12) I want to adjust the size of the portrait boxes without replacing a new template

First select the first box on the page and adjust the size of the box to the size you will want them all to be.

Now, while that box is still selected, hold shift down on your key board and select the other boxes you want to change the size of. All the selected boxes will be highlighted in red.

Now you are going to select frame on the top menu, then hit transform, then photo fit.

Then in the “selected frames settings” pop up, change photo fit to manual and close the pop up.

Now go to frame settings on the right side of the page and click on the width and hit enter. Click on the height and hit enter there as well.

Your selected frames will now increase to match the size of the first box.

Now go back to the top frame menu, select transform, then photo fit. In the same pop up we changed the fit to manual, change it to “proportional outside”

The photos will now increase in size to fill the box and match the the size of the first photo.

You can now unselect the photo boxes and SAVE the page!
